How to Manage Organisation Settings & Policies

Organisation administrators can configure global settings and policies to control security, authentication, and user management. This guide will walk you through adjusting these settings in the Prowise Management Portal.

Accessing Organisation Settings

  1. Go to account.prowise.com.

  2. Sign in with an Organisation Admin account.

  3. Navigate to the Management Settings section.

Step-by-Step: Configuring Organisation Settings

A. Managing General Organisation Settings

  1. Open Management Settings.

  2. Edit details such as:

    • Default language and region.

    • User type designation (e.g., primary education vs. secondary education) to indicate the primary audience of the organisation.

    • Permissions for user email changes and profile edits.

  3. Click Save to apply changes.

B. Enforcing Security Policies

  1. In Management Settings, locate Security Settings.

  2. Adjust security options:

    • Require Multi-Factor Authentication (MFA) for administrators, teachers, or all users.

    • Restrict users from changing email addresses.

    • Control access to cloud services.

  3. Click Save to enforce the selected policies.

C. Configuring Picture Login Settings

Organisation administrators can configure how Picture Login appears and behaves for users.

  1. Open Picture Login Settings in Management Settings.

  2. Adjust the Grid Layout options:

    • Groups per row: Defines how many icons appear per row in the school, group, and user selection screens.

    • Pictures per row: Determines how many password pictures are displayed when a picture password is used.

  3. Modify Security Settings:

    • Picture set used for authentication: Select the predefined image set for users.

    • Randomized images: Enable or disable random order display for password images.

    • Picture password length: Set the required number of images for authentication (2-4).

    • Failed attempts before lock: Define how many incorrect attempts trigger a lockout (5-15 attempts).

  4. Click Save to apply settings.

D. Configuring Single Sign-On (SSO) & Login Providers

  1. Open Login Provider Settings.

  2. Set the primary identity provider (IdP) for users, such as Microsoft or Google.

  3. Assign domain restrictions for authentication.

  4. Click Save to apply login provider settings.

D. Managing Verified Domains

  1. Navigate to Domain Management.

  2. View or verify allowed domains for organisation authentication.

  3. If available, import domain verification from Google or Microsoft.

  4. Manually verify domains if necessary.

  5. Click Save to finalise domain settings.

Note: Domain verification does not currently restrict which emails/accounts can be added to the organisation but may in the future.
